Automating WhatsApp for a small business

The difference between the WhatsApp Business app and the API, what the 24-hour window and paid templates mean for your bill, and what a good automation should refuse to do.

The app and the API are two different products

The WhatsApp Business app is the free one you install on a phone. It has quick replies and away messages, and one person operates it.

The WhatsApp Business Platform — the API — is what tools connect to. It has no app: you authorise a provider, and software sends and receives on your number. This is the one that allows real automation, a shared inbox, and more than one person answering.

A tool that says it works with WhatsApp should tell you which of the two it means. They behave differently and cost differently.

The 24-hour window, and why messages have a price

When a customer messages you, a 24-hour window opens. Inside it you can reply freely.

Outside it, you cannot simply write to them. You must send an approved template message, and Meta charges for it. This is why "unlimited messages" claims need reading closely: replies inside the window are one thing, reopening a conversation the next day is another, and the second one has a per-message cost set by Meta rather than by the tool.

For most small businesses answering customers who wrote first, almost everything happens inside the window and the cost is small. It matters when you want to send promotions or reminders.

What automation is genuinely good at here

  • The same five questions you answer every day: is this in stock, how much, do you deliver to my area, what time do you open, where are you.
  • Collecting an order or a booking without a person retyping a name, number and address into a spreadsheet.
  • Answering at two in the morning, which is when a surprising share of messages arrive.
  • Telling a customer the truth about an order that has not moved, rather than leaving the message unread.

What it should refuse to do

Guess a price. Confirm an order it has not actually recorded. Promise a delivery date nobody set. Keep replying to someone who is angry.

Each of these is a failure a customer remembers, and each is avoidable by a tool that checks a real record before it speaks and escalates when the conversation stops being routine.

Common questions

Will I lose my existing WhatsApp number?
A number can be migrated to the WhatsApp Business Platform, but a number can only live in one place at a time — once it is on the API it no longer works in the phone app. Decide that deliberately before you start.
What does WhatsApp charge for?
Meta prices conversations, not tools. Replying inside the 24-hour window after a customer writes to you is the cheap case; starting a conversation outside it requires an approved template and is charged per conversation at rates Meta sets by country.
Can more than one person use the same number?
On the Business Platform, yes — that is one of the main reasons businesses move to it. On the phone app, no.
